What is your typical process for working with a new customer?
A customer describes their laptop's issue to me. I tell them if we have the part and how long it will take to get the part. I give the customer a quote. I pick up or they deliver (including shipping) the laptop and fix it. Then we return it to them.

We charge the parts cost plus 99$ flat rate.
